Project Management Coordinator - Boulder, Colorado (BO #2)

General Characteristics:
This individual is responsible for general administrative Project Management support in Vision for the Building Energy Evaluation Services (BEES) and Commissioning Business Area Teams, including projects with scope for the both of these Business Area Teams. This position will involve the generation and coordination of sending and receiving contracts to clients and AEC officers. This position supports the maintenance of the Vision database in particular creating new projects from proposals, creating and associating plans and budgets in accordance with contracts and a statement of work(s) for the accepted scope(s) of work. Coordination with the assigned Project Manager to get project schedules, specs, drawings and other relevant project documents. Initial set up of the planned hours and planned bill, contract budget, and plan schedule by phase; maintenance of this information via coordination with client and Project Manager. Coordination of deliverables with the project team and coordination of client meetings and web-conferences. Also, various administrative tasks (other word-processing, filing, research) as assigned. The position requires multi-tasking and exceptional organization and communication skills with staff and firm clients. Advanced Microsoft Word, PowerPoint, and Excel, Adobe Professional and Deltek Vision skills necessary. This position is full-time.

Direction Received:
This position is jointly supervised by the Building Energy Evaluation Services Team Leader, Commissioning Team Leader and Office Administrator. If tasks conflict, individual will ask for prioritization from Office Administrator.

Typical Duties and Responsibilities:

  • Maintenance of Vision Database for general project information, and hours and planning information including planned bill, job to date history, schedules, and expenses related to a project.
  • Pre-Contract Work Authorizations and Engineering Consulting Agreement generation.
  • Review of contracts generated by Client compared to the accepted Statement of Work.
  • Creation of plans in Vision.
  • Assistance with monthly invoicing.
  • Training and support with Vision Resource Planning to Business Area Team.
  • Set up web-conferences with clients as per project schedule.
  • Coordination of Business Area Team meetings.
  • Assistance with coordination of deliverables with project team(s).
  • Data logger data entry and maintenance of equipment log and data download information on excel tracking sheet.
Responsibility for Direction of Others:
Direction given to the Business Area Team Administrative Assistant as required based on availability of Office Administrator and prioritization of tasks as requested from the Business Area Team members and leaders.
